How to Create a Recurring Appointments Calendar
Initiating Setup:
Navigate to ‘Settings’ from your dashboard.
Select ‘Calendars’ and opt to ‘Create Calendar.’
Choosing Calendar Type:
Click ‘Select’ under Round Robin Booking.
Please Note: All calendar types are compatible with recurring appointments. If selecting Round Robin, ensure only one user or team member is assigned to the calendar.
Activating Recurring Appointments:
In the ‘Availability’ tab, toggle on ‘Recurring Appointments’ to access specific settings for your recurring events.
Remember: A recurring event can repeat up to a maximum of 24 times due to system limitations.
Managing Overlapping Bookings:
Under “If slots are not available,” choose how to handle potential booking conflicts. Options include:
Skip booking Unavailable Slot: Ignores and skips overbooked time slots.
Continue Booking: Allows double-booking a slot.
Book Next Available Slot: Searches for the next available slot, even if it's further in the future.
Important: The system checks the next 3 available slots for booking feasibility. Unavailable slots beyond this range will not be booked.
Frequently Asked Questions (FAQs)
Will automated workflow triggers work for Recurring Appointments?
Existing workflow triggers require a new filter addition for Recurring Appointments. You can specify the Event Type in your Appointment Trigger Steps.
We added a new Event Type Filter in the appointment trigger step, so now you can control the workflow triggers that can fire for the type of your appointments. You would choose Recurring as the Event type if you want the Workflow Trigger to only fire off for Recurring Appointments. For all the existing Appointment Status triggers in your account, we have added a new Filter by default, and the Filter is Event Type: Normal. It does not fire off for Recurring Appointments.
Event Type: Normal
So if you select this filter, the normal appointments (which aren't recurring) and all your existing non-recurring appointments would be considered normal. If you select this, then it would work the same as how it is working now.
Event Type: Recurring
If you select this filter, then the trigger would fire only for the appointments that got booked in Calendars that had the recurring appointment settings turned On.
Event Type: Any
If you select this filter, then the trigger would fire for any type of appointment.
Please Note:
We are deprecating Customer Booked Appointment Trigger. So now, if you select the Modified By Filter:
API: Works only for appointments created via API.
Customer: It would work the same as the Customer Booked Appointment, so if this filter is added, then appointments that are booked by customer i.e if the appointment is booked from the widget, then only this would fire.
User: All the appointments that are booked inside the system or any other source other than the appointments that booked from widget would fire the appointment.
Can I bulk update Recurring Appointments?
Bulk updates for cancelling or rescheduling Recurring appointments are currently not supported.
Will all Recurring Appointments have the same meeting link?
For virtual meetings like Zoom or Google Meet, each recurring appointment generates a unique meeting URL due to the dynamic nature of these services.
How do Recurring Appointments sync with integrated calendars?
When sync is enabled, each recurring event syncs as an individual event to third-party calendars.
Is payment collection available for Recurring Appointments?
Payment features are currently not supported for calendars with recurring settings enabled.
