In today’s fast-paced digital world, efficient management of contact data is a priority for businesses. Recognizing this need, we have introduced a powerful "Additional Phones" feature, along with enhanced Bulk Import and Export functionalities. These additions are designed to simplify handling large datasets and ensure a streamlined process for our users.
Bulk Import 📥
Steps to Import:
The Contact Import section now boasts a new system field titled “Additional Phones”. This inclusion allows users to assign several extra phone numbers to each contact with ease.
During the import phase, ensure all additional phone numbers are compiled in a single column, separated by commas (,), slashes (/), or semicolons (;). These numbers should then be mapped to the “Additional Phones” field within the system for efficient organization. 🗺️
Conditions 📝:
Uniqueness Determination: The contact's uniqueness is identified based on both the primary Phone and Additional Phone numbers, contingent on “Phone” being selected in “Find Existing Contacts Based on First Preference”. 🔍
Duplicate Matches: If duplicates are identified for an additional phone number, that specific entry will not be linked to the contact. ❌
Invalid Number Handling: Invalid phone numbers found within the additional phones field will be excluded, ensuring only validated numbers are kept.
Primary Phone Replacement: In instances where the primary phone column is empty but the additional phones field is populated, the first listed additional phone number will automatically be promoted to the primary phone status. 🔄
Contact Update Merging: Updating an existing contact will result in the new phone numbers from the CSV merging with any existing numbers associated with the contact. ⚙️
Maximum Capacity: The “Additional Phones” field can host up to 10 phone numbers. Should there be more than 10 numbers listed, only the first 10 will be acknowledged and saved. 🔟
Bulk Export 📤
For users conducting a Contact Export, selecting the phone option in the smartlist column triggers the inclusion of an “Additional Phones” column in the exported CSV file. This column compiles all the additional phone numbers into a single column, separated by commas, facilitating easy data management and utilization.
